RE: Package Delivery

The number of packages arriving daily at the Lauren has
been steadily increasing. The front desk office is often
filled with large and small items destined for residents.
In the past this would be common only around the holiday
season. Likewise, the number of sources has also grown. A
plethora of overnight services drop off items as do
traditional carriers such as United Parcel Service (UPS)
and the US Postal Service.
In order to assure that packages are duly accounted for
and delivered to the addressee the Board of Directors has
authorized the implementation of a log-in/log-out system
for a trial period of approximately one (1) month during
the months of April/May 1999.
The process will be as follows:
I. When a package that will not fit in the pigeon hole
front desk mailbox is received the desk clerk on duty
will:
- A. Mark the box/envelope with the unit
number it is to be delivered to.
- B. Insert a pink (or other colored) large
index card in the pigeon hole mailbox of that
unit.
- C. Record the delivery in a log. Items
recorded will be:
- 1. The date delivered
- 2. The commercial carrier
(FedEx,Airborne,Roadway, UPS, florist,
etc.) who delivered the item.
- 3. Who the package was sent from
(name of store) if decipherable from
label.
- 4. Name and unit of the person it
is addressed to.
II. When the package is picked up the process
is as follows:
- A. Removal of the colored index card from
the pigeon hole mailbox.
- B. Completion of the following items in
the log:
- 1. Name and unit of person
picking up the package
- 2. Date the package was picked
up.
We realize that this process is a little more
complicated (for both residents and desk clerks) that the
current one; however, it is strongly felt that it is in
the resident's best interest. We appreciate your patience
as the trial is conducted. As always, comments and
questions are welcome!
